Terms and Conditions: Immersion Program 2026
The Immersion Program (the “Program” or “Event”) is a strategic initiative facilitated by Sannam S4 Inc. (“Acumen”, “we”, “us”, or “our”). By registering for the Program, checking the “I have read and agree to the Terms and Conditions” box, or otherwise participating in the Event, you (“Participant”, “you”, or “your”) agree to be bound by these Terms and Conditions (“Terms”).
- Scope of Services & Itinerary Fluidity
- Program Objective: The Program is a strategic initiative designed for senior leaders from higher education institutions to gain structured, on-ground insight into the respective host country’s evolving education ecosystem and foster transnational education (TNE) partnerships.
- Acumen’s Role: Acumen shall act as a facilitator and coordinator for the Program between the Participant and its supporting partners/vendors/sub-contractors/third-party service providers, to deliver the Program.
- Definitive Program Details: The definitive schedule, host countries, list of cities, dates, exact inclusions, and pricing are explicitly detailed on this official Program landing page and its accompanying downloadable PDF itinerary.
- Itinerary Flexibility: The program agenda and listed meetings are broad indicators of the flow of events. Acumen reserves the right to change, amend, or reshuffle the schedule without any prior notice due to government, institutional, or partner availability.
- Fees and Price Validity
- Applicable Fees: The definitive participation fee is as stated on this Program landing page at the time of your registration.
- Price Validity and Fluctuations: The program fees published at launch are guaranteed for registrations completed on or before June 15, 2026. After this date, Acumen reserves the right to pass on unexpected, significant third-party cost increases (including but not limited to domestic flight spikes, severe currency fluctuations, or emergency vendor surcharges) to the Participant. You will be notified in writing of any such adjustments.
- Payment Policy and Default Consequences
- Payment Timeline: Participants must strictly adhere to the following payment schedule:
- 50% Deposit: Due by June 30, 2026.
- Remaining 50% Balance: Due by August 31, 2026.
- Consequences of Non-Payment: If a Participant fails to clear the remaining 50% balance by August 31, 2026, Acumen will issue written email reminders. If the balance remains unpaid seven (7) business days after the final reminder, Acumen reserves the right to cancel the Participant's place completely. In such an event, Acumen shall not make any bookings or incur further third-party costs on behalf of the Participant, and any deposits already paid will be subject to the Cancellation Policy below.
- Cancellation and Refund Policy
Any cancellation, no-show, or refund shall be governed as per the applicable policies of Acumen’s partners/vendors/sub-contractors/third-party service providers.
- Passports, Visas, and Entry Requirements
- Participant Responsibility: Obtaining a valid passport and the correct Indian entry visa (e.g., Business Visa or relevant official conference/travel entry document) is the sole and absolute responsibility of the Participant.
- Visa Delays and Rejections: If a Participant is denied entry into India, fails to secure an approved visa in time for travel, or has their visa refused by immigration authorities, it will be treated as a standard individual cancellation. No refunds will be issued by Acumen for visa-related failures occurring after the August 31, 2026, final payment deadline. Participants are strongly encouraged to apply for their Indian visa immediately upon registration and to purchase comprehensive travel insurance that covers visa-related trip cancellations.
- Delegate Substitution
Should an institution choose to substitute its designated senior leader, the proposed substitute must meet the program's executive eligibility criteria and be approved by Acumen. Any resulting cancellation or rebooking fees incurred from third-party vendors (such as domestic flights or hotel modifications) will be billed to the institution.
- Insurance Requirement
Acumen does not provide personal, travel, or health insurance. All Participants are strictly required to secure comprehensive international travel and medical insurance prior to departure, covering medical emergencies, trip cancellations, and repatriation.
- Data Protection & Privacy
- Data Processing Compliance: Personal information supplied by participants in connection with the Programme shall be processed by Acumen solely for purposes relating to Programme administration, participant coordination, logistics management, safety, communications, and related operational activities, in accordance with applicable data protection laws, including Vietnam’s Personal Data Protection Decree No. 13/2023/ND-CP, the Digital Personal Data Protection Act, 2023 (India), the UK GDPR, EU GDPR, and other applicable privacy laws, where relevant.
- By registering for this Event, the respective party/attendee herein gives consent and agrees that:
- Acumen may use participant personal information for purposes connected with the administration and delivery of the Program.
- Acumen may also send information relating to future programs, events, or related opportunities where permitted under applicable law. In case a participant does not wish his/her details to be used in this way, the same will be communicated in writing to Acumen or by clicking on the unsubscribe link provided in such communications. Whenever the processing of personal data is involved, the Data Processing Agreement may be required to be signed between the participant and Acumen.
- Third-Party Sharing: Acumen may also be required to share the participant’s personal information with Acumen’s approved supporting partners/vendors/sub-contractors/third-party service providers (‘Partners’) for the limited purpose of delivering the Program.
- Marketing Consent: By registering, you agree that Acumen may use your details to send communications regarding future events or related opportunities where permitted under applicable law, which you can opt out of at any time.
- Media Release: For promotional purposes, photos and video recordings may be taken during the Event. These materials remain the sole property of Acumen, which reserves all rights to use them in future marketing collateral.
- Limitation of Liability
- Third-Party Actions: All logistical, hospitality, and transport services are delivered by independent vendors. Acumen shall not be held liable for any delays, service modifications, cancellations, or actions taken by these third-party partners.
- Loss of Property: Acumen is not responsible for any loss, liability, theft, or damage to the personal property or luggage of any participant.
- Total Liability Cap: Acumen’s total cumulative liability to any participant for any loss, cost, claim, injury, or expense arising out of or in connection with the services offered under this Program shall be strictly limited to the total registration fee paid by that individual participant.
- Force Majeure: In the event that the Program is cancelled, delayed, or suspended in whole or in part due to causes beyond Acumen’s reasonable control, Acumen does not accept any direct or consequential liability.
- Governing Law and Jurisdiction
These Terms, the registration process, and any disputes or claims arising out of or in connection with the Program shall be governed by and construed in accordance with the laws of the District of Columbia, United States of America, without regard to its conflict of law principles. Any legal actions or proceedings shall be brought exclusively before the courts located in the District of Columbia.
